Read this if…

…you initiate electronic signatures on Docusign or Adobe. If this is true, we will let you know the

information you need from the German publisher:

  • Names, Emails
  • Roles: who, at their end, will be the viewer, approver, signing, forward signing, or forward approving.
  • Invitation order: if there is a specific sequence they want you to follow
  • Multiple signing or approving parties

specific roles:

  • Viewer: neither approves, nor signs the document but needs to view it.
  • Approver: doesn’t sign the document but needs to approve the process before the document can be finalised. For example, the agent or contract manager who needs to OK the contract before it’s sent on for the author’s or publisher’s signature. There can be one or more approvers.
  • Signing: a signing party is required to sign the document.
  • Forward Signing (Delegate): has the option to sign or to forward the document to only on other signig party. To do so, the recipient opens the document, then enters the email address of the other signing party.
  • Forward Approving (Delegate): has the option to approve or to forward the document to only one other signing party. To do so, the recipient opens the document, then enters the email address of the other approving party.

specific invitation order (optional):

sets the sequence in which parties will receive the emails to view, approve or sign. Typically, the approver approves before the signing party signs. However, even if the signing party signs first, the process will not move forward if the approver does not approve. More than one recipients may receive the invite at the same time.

what if multiple parties are signing or approving?

recipients who forward the document to more than one approver or to more than one signing party, need to receive one invite for each party who will approve or sign the document. Please, specify the number of invites needed.

Examples

Example 1 (if author is recipient):

  1. Anne Rightsmanager (view) <anne@agency.com>
  2. Burt Litagent (approve) <burt@agency.com>
  3. Cindy Author (signing) <cindy@gmail.com>

(Anne views, then Burt approves, then Cindy signs)

Example 2 (if you forward to author):

  1. Burt Litagent (forward signing) <burt@agency.com>

(Burt is the only recipient and has the option to sign or to forward the option to the author)

Example 3 (if sequence doesn’t matter):

  • 1. Burt Litagent (approve) <burt@agency.com>
  • 1. Cindy Author (signing) <cindy@agency.com>
  • 1. Burt Litagent (approve) <burt@agency.com>

(everybody receives at the same time, but the process will not move forward until Anne and Burt approve and Cindy signs)
